THE CYPRUS THIRD AGE, hereinafter referred to as the «C3A», treats your privacy seriously. This privacy policy sets out how we will deal with your ‘personal information’, i.e. information that could identify or is related to the identity of an individual.
What personal information do we collect?
When you express an interest in becoming a member of the C3A you will be asked to provide certain information. This includes:
- Forename(s)
- Surname/Family name
- Address
- Home telephone number
- Mobile number
- Email Address
- Interests
The C3A provides all members with a unique membership number.
How do we collect this personal information?
All the information collected is obtained directly from you when you complete a membership application form. When you provide this personal information, we ask that you provide consent for us to store and use your data on the application form. Your consent is required to ensure we comply with Data Protection legislation, (GDPR).
How do we use your personal information?
The C3A uses member’s personal information in the following ways:
- To provide C3A activities and services to our members.
- For administration, planning and management of the C3A.
- To communicate with our members about C3A activities and services.
- To monitor, develop and improve the provision of C3A activities.
We will send members messages by email of C3A activities, telephone or postal communications will only be used in exceptional circumstances.
With whom do we share your personal information?
Access to membership data is restricted to:
- Those committee members having a specific need for the purpose of managing the C3A.
- Group leaders who are members of the C3A who maintain lists of their group members.
- A list of all members is maintained by the Membership Secretary.
- A list of all Group Leaders is maintained by the Group Coordinator.
- The Communications Officer maintains a secure database of members details that are used for booking events and e-voting purposes.
The C3A will not disclose members data to organisations outside the C3A without the member’s prior consent, except as required by the statutory authorities according to the laws of the Republic of Cyprus.
How long do we keep your personal information?
We keep your information while you remain a member of the C3A. Once you leave the C3A any personal information the C3A has on file about you will be deleted.
How your information can be updated or corrected?
To ensure the information we hold is accurate and up to date, members need to inform the C3A of any changes to their personal information. You can do this by contacting the Membership Secretary by email or by clicking the link at the foot of any C3A email to the on-line form.
How do we store your personal information?
Members data is stored in a password protected membership spreadsheet by the Membership Secretary and an encrypted database by the Communications Officer. Information used to recover information in the event of a failure is stored securely in the cloud.
The Membership Secretary stores completed Membership Application and Membership Renewal forms.
The C3A Group Leaders maintain lists of members in their group(s).
Availability and changes to this policy
This policy may change from time to time. If we make any material changes we will make members aware of this via the newsletter and email notifications.

Credit card and banking details
To facilitate on-line membership renewals we use the secure payment system Stripe. Information members include on the renewal form, which includes their credit/debit card details, are processed by Stripe and renewal fees (less the Stripe processing fee) are deposited in the C3A bank account.

The C3A does not retain members’ credit card details.
